Centology backs unique research: Streamlining back-office workflows with AI

Processing large volumes of hard copy documents and automating back-office workflows is a constant challenge for independent financial advisers (IFAs). Streamlining back-office workflows with AI offers a powerful solution, making these tasks faster, more accurate, and far less manual.
This is why we supported unique academic research by our Apprentice Developer, Oakley Anderson, who recently completed a five-month project aimed at creating solutions that improve document processing speed, efficiency, and accuracy. Oakley, who holds a Digital and Technology Solutions Professional (Software Engineer) degree from the University of Chichester, explains:
“The aim of the project was to streamline document ingestion processing by developing a document extraction system, automating what was previously a time-consuming manual process. The main goal was to identify faster and more reliable solutions to meet the growing demand for this type of automation.”
For the IT experts, Oakley used a linear/waterfall project approach, embracing PRINCE2 principles. Key components included Azure AI Document Intelligence, Azure Functions, SharePoint Online, Power Automate, and layered testing with xUnit, FluentAssertions, and Moq.
The results of the research have already been applied to a new Centology AI solution, now live and helping IFAs streamline document reconciliation processes. Oakley added:
“The project has helped optimise document reconciliation, saving time, reducing manual errors, and enhancing our understanding of AI technologies that can be applied to future projects. It’s a practical demonstration of streamlining back-office workflows with AI.”
Oakley dedicated one day per week to the research, working closely with Centology’s Data Operations team to gather requirements and ensure objectives were met. Improving back-office workflow automation creates significant opportunities for forward-thinking businesses, especially given the number of outdated legacy systems still in use.
While the project has been highly beneficial to both the business and the industry, it has also been a rewarding experience for Oakley in terms of his personal and professional development as a valued member of our team.
Matt Wadsley, Lead Developer at Centology and Oakley’s mentor, commented:
“Oakley’s apprenticeship and the valuable insights from his research are already helping Centology enhance our class-leading solutions for IFAs. It’s a great example of how we continually push the boundaries of what is possible. AI is already transforming our industry, and this project shows the potential of streamlining back-office workflows with AI to improve efficiency, accuracy, and overall service for advisers and their clients.”
